Request for Quotation/Bid for Provision of Lodging and Conference Package
1.0 Background Information and Context
The Christian Health Association of Lesotho (CHAL) is a voluntary Association of Christian Churches providing not-for-profit health care services to Basotho. It was established in 1974, as an Association under the Society’s Act of the Kingdom of Lesotho. CHAL is made up of six member churches, Roman Catholic Church (RCC), Lesotho Evangelical Church in Southern Africa (LECSA), The Church of the Bible Covenant (CBC), Assemblies of God (AOG), Seventh Day Adventist Church (SDA) and Anglican Church in Lesotho (ACL), operating 8 hospitals, 4 Nurses Training Institutions and 71 health centers. CHAL is a member of Ecumenical Pharmaceutical Network (EPN) and is currently implementing ACCESS Phase 3 Project with EPN. The objective of the project is to improve healthcare delivery and mitigate the impact of infectious diseases, including Emerging Infectious Diseases (EIDs), in remote church health systems in Lesotho from April 2025- March 2028.
CHAL is therefore, looking for a suitably qualified Suppliers or Service providers to provide a training facility with accommodation and conference package as described in Section 2.0 below for 26 participants from the 17th – 21st November 2025. The preferred locations are Berea, Leribe and Botha Bothe districts. Suitably qualified hospitality suppliers are therefore requested to apply and send their bids to the email addresses provided in Section 5.0 below.
2.0 Assignment Objectives/Requested Services
The bids must be from Lesotho Hotels, Lodges and Guest Houses in Berea, Leribe and Botha Bothe, in possession of a proven track record and licensed to provide services of this nature. The Supplier is expected to provide CHAL with the following services for a period of 6 days starting from the 16th to the 21st of November 2025:
- Hall hire for 26 people for 5 days from 17h to the 21st of November 2025.
- Accommodation and breakfast for 26 people for 5 days from the 16th to the 20th of November 2025.
- Bottled water 500ml per person x 2 per day for 5 days 17th to the 21st of November 2025
- Morning tea for 26 people for 5 days from the 17th to the 21st November 2025.
- Lunch for 26 people for 5 days from the 17th to the 21st of November 2025.Time Frame
The assignment is expected to take a maximum of 6 days, upon receipt of the purchase order from CHAL.
3.0 Proposal Specifications
Interested Suppliers must include, in their bid, technical and financial proposal with the following components:
- Technical Proposal
- Understanding and interpretation of the assignment (from section 2.0 above).
3.2 Financial Proposal
- Detailed cost proposal in Maloti for all the required services as mentioned in 2.0 above.
Amongst the documents to be submitted, must attach a valid tax clearance, valid trader’s licence/ business ID card, VAT registration certificate, Tourism levy certificate and bank confirmation.
5 Submission of Proposal
Interested and qualified Suppliers should submit their bids through an email to ed@chal.org.ls and copy lekhoanas@chal.org.ls on or before the 13th November 2025 at 15:00 hours
The deadline for submission of quotations/proposals will be Thursday the 13th November 2025 at noon (1500 hrs).
6 Evaluation and Award of the Work.
CHAL will evaluate the bids and award the assignment based on technical and financial feasibility. CHAL reserves the right to accept or reject any quotation received without giving reasons and is not bound to accept the lowest or the highest bid/quotation.
